Site Administrator

Aquaheat New Zealand Limited is recruiting for a Site Administrator to work on site between Wellington Hospital and Tawa Office. This is a permanent full time position 40 Hours per week, but we are a fabulous company and you will LOVE working for us!

Requirements:

Reporting to the Project Manager & Tawa office you will be responsible for:• Liaising with suppliers, subcontractors and the head contractor in order to assist our project team on site.• Pronto (our Computerised Maintenance Management System) related items such as purchase orders, subcontractor payments, variations, redmaps and any other pronto related items.• Reviewing and cross-checking project documentation to ensure smooth operations.• Developing and implementing of efficient administration processes.• Maintaining accurate Quality Assurance, Health and Safety and training records.• Document control – maintaining accurate records of historic document distribution to client, sub-contractors and other stakeholders.• Ensuring Project team receive all the latest up to date relevant information and documents to carry out their duties.• Maintaining accurate filing systems (hard and soft copies) for all drawings & specifications and tracking track approvals or comments.• Providing administrative support to the team as and when needed, along with office management duties such as administering office tea, coffee, stationery, PPE and safety supplies.

To be successful a candidate will require the following qualifications and experience:

  • Microsoft office / word / excel
  • Planning ability to prioritise workload
  • Effective communication skills
  • Strong administration and data entry experience
  • Health and Safety administration
  • Ability in accurate data input and to meet deadlines.
  • Accounts based systems: Pronto & Red Maps would be an advantage
  • Must be Covid Vaccinated to work at Hospital Base.
